About the role
The Food and Agriculture Organization (FAO) is seeking an Administrative Assistant to support the EU‑funded Oil Palm Value Chain Improvement Project in Sierra Leone. The role ensures smooth execution of project activities, compliance with FAO and EU procedures, and readiness for audits.
Key responsibilities
- Provide day‑to‑day administrative support, maintain electronic and physical filing systems, and draft correspondence, memos, and reports.
- Organise trainings, capacity‑building sessions, farmer engagement events, and stakeholder workshops, including travel arrangements and documentation.
- Assist with processing payments, advances, reimbursements, and field activity liquidations, ensuring complete and accurate supporting documents.
- Support budget tracking, expenditure monitoring, and reconciliation of pending transactions.
- Prepare purchase requests, follow up on procurement processes, maintain records of contracts, and verify delivery of goods and services.
- Facilitate communication between FAO, implementing partners, and other stakeholders, tracking correspondence and ensuring timely follow‑up.
Required profile
- Works under the supervision of the FAO Representative and the Assistant FAO Representative (Administration).
- Collaborates closely with the Project Coordinator (Agricultural Officer – Oil Palm Value Chain), Operations and Finance Units, and implementing partners.
